We're a small agency with 3 agents — is it even worth it?

How do we document taking keys in from an owner?
When keys are handed in, you create the key with the property address and owner's name and scan it in — with the date, the number of keys and, if desired, a signature on the tablet. When the mandate ends, you scan it back out. Both remain permanently documented in the history.

Several agents share the property keys — how do we keep track?
Every withdrawal is attributed to the person who scans the key. The live overview shows at any time which key is with whom — including on a smartphone when out and about. The "who had it last?" guessing game disappears.

What happens at the handover after completion?
You scan out all the property's keys — front door, flat, cellar, garage, letterbox — and hand them to the buyer, with a signature if desired. That documents which keys were handed over and when, in case questions come up later.

Do photographers or tradespeople need their own account?
No. You scan the key out, select the recipient from your contact list or enter their name, and set a return date. External recipients never need access of their own.

Where is our data held? Is it GDPR-compliant?
Hosting is exclusively in Germany, and a data processing agreement is in place. For agencies handling owners' and prospective buyers' data this is particularly relevant — we provide specific information on request. More on the topic of security.
