Keys to the fleet

Key management for car dealerships and fleet management

Car dealerships, workshops, vehicle fleets — Log+Key gives sales, service and field teams a shared, digital overview of every vehicle and workshop key.

Typical challenges

What goes wrong with keys in day-to-day dealership work

  • Peak season in the service department: the customer is waiting at the desk — and the vehicle key is somewhere between the workshop and detailing.
  • A test drive arranged on the spot: the key goes out without anyone recording with whom, or until when.
  • Vehicle moved, key rehung: the key board reveals neither the parking spot nor the vehicle.
  • Sales, service, detailing and field staff all reach for the same keys — and every department keeps its own list.
  • A lost remote key quickly costs three figures — and is often only noticed when the customer is standing at the door.

Key management in the dealership

Every vehicle key: found instead of searched for.

Keys linked to vehicle data

In Log+Key, each key is its own record with master data: VIN, number plate, model, parking spot, customer. Using the search, you find the key even when only the number plate is known — or, the other way round, the vehicle belonging to the key in your hand. The board full of unlabelled tags has had its day.

Test drives and handovers with a signature

When a key goes out for a test drive, it's documented in seconds: select the recipient or enter a name, set a return time, add a signature on the tablet if desired. When the vehicle comes back, the key is scanned back in — the history stays complete, even on a hectic Saturday in October.

Service operations without search times

Reception, workshop, detailing, pick-up and delivery: in the service department, a vehicle key passes through many hands. With Log+Key, every department sees in the live overview where the key currently is — instead of the service advisor ringing round the building while the customer waits at the desk.

Fleets and pool vehicles

Beyond the showroom, the same applies: pool cars, demonstrators and courtesy cars need clear responsibilities. Return dates make sure a vehicle is available again on Monday morning — and the history shows who had it last when the tank is empty or a scratch is new.

Integration with your systems

Log+Key offers an open API for connecting vehicle and key data with your existing systems — from the DMS to your own fleet software. You'll find an overview on the integrations page.

More background: A digital key management system quickly becomes a prerequisite for smooth dealership operations — we've put together a definition and selection criteria. If you're wondering whether a key safe alone is enough, or whether an Excel key book will keep carrying you — we've compared the key points. You'll find a full overview of features and hardware on our software solution page for digital key management.

Key dates in the calendar

Schedule a return date.

A scheduled return deadline makes for an organised key handover, because agreed deadlines are a helpful planning tool for both the person taking the key and the person handing it over.

Confirm with a signature.

Log+Key doesn't leave the question of accountability unanswered. With the signature feature, a key can be handed over responsibly and traceably.

More than keys

Your inventory works like a key too.

Tools, devices, vehicles, first-aid kits: anything your team borrows and returns, Log+Key manages just like a key — with an NFC tag, a complete history and stocktaking by scan. The key rack and the tool store share one system, one history and one login.

Frequently asked questions

Answers for your industry

  • How many NFC tags do we need per vehicle?

One tag per physical key. If a vehicle has two keys, that's two tags. Both are linked to the same vehicle record but can be scanned individually.

  • Does Log+Key work with our DMS (CROSS, AUTOHAUSEN)?

That's exactly what we're building right now in the pilot with VW Hannover: master data from the DMS (VIN, registration plate) flows automatically into Log+Key, and the tag number plus the last user go back into the DMS. If you use CROSS or AUTOHAUSEN, do raise it with us specifically — we can give you concrete roadmap commitments.

  • What happens if someone forgets to scan a key back in?

The live overview on the wall terminal shows overdue keys in red, so anything forgotten is immediately visible. In the medium term, BLE-based automatic capture is on the roadmap, so forgetting will no longer be technically possible.

  • What about owner data protection?

You only store what you want to store. Owner data is optional — Log+Key also works using the registration plate plus model, with no personal data at all. This means the system can also be used within restrictive data protection frameworks.

  • Do you have references from the car dealership sector?

Yes: Reinhardt Automobile, Autohaus Oppel and Jacobs Automobile in Mönchengladbach are among our customers. Across all dealerships combined, we currently manage around 2,000 keys.
