More than room cards
Key management for hotels & hospitality
Whether you run a hotel, a restaurant or a business across several sites: your guest or POS system knows the rooms and tables — but not the keys to offices, kitchen, storage, cold room, workshop and vehicles. Log+Key documents everything your guest system doesn't cover: every issue, every return, every deadline. You're billed by the number of objects you manage, not per user — your whole team works with it without the cost going up.
Typical challenges
What goes wrong with keys in day-to-day hospitality operations
- The room cards are neatly managed in the system — the keys to offices, kitchen, storage and plant rooms hang on a board or sit in someone's pocket.
- External service providers — laundry, maintenance, cleaning — are given keys, and nobody records when they are due back.
- High staff turnover and seasonal workers: a constant stream of new faces being handed keys, cards and fobs — with no central register.
- Master and floor keys pass through many hands every shift — when in doubt, nobody knows who had them last.
- Shuttle vehicles, tools and equipment are spread across the whole property — and so are their keys.
- Systems billed per user are barely affordable at your team size — so everyone shares one account, and the documentation loses its value.

Key management for hotels & hospitality
What the guest system doesn't cover, Log+Key documents.
The room card is sorted — the rest isn't
For guest rooms, hotels have long had a system: the locking system programs the cards, the PMS knows the occupancy. But alongside it there is a second set of keys that system never sees — offices, kitchen, storage, laundry, spa, plant rooms, roof access. That is exactly where Log+Key comes in: as a central register for every key, card and fob beyond the room door. Log+Key doesn't replace a locking system — it documents issues and returns, which is why it works with any system, including several at once.
Hospitality: often no system at all
Restaurants, cafés and catering businesses usually have no card system at all — but they do have keys to the kitchen, cold room, drinks store, till and back door, opening up in the morning and locking up at night. Who holds which key comes down to habit and trust. Log+Key turns that into a register that still gives you an answer when the question is about the temp who worked there three months ago.
External service providers without their own account
Laundry, maintenance, window cleaning: external providers don't need a Log+Key account. Your team scans the key out, picks the provider from the contact list and sets a return date — with a signature on the tablet if you want one. The live overview shows which keys are out of the building at any time, and email reminders chase overdue returns.
Shift work, seasonal staff, trainees
Hospitality runs on many hands — and changing ones. Seasonal workers come and go, trainees gain access to more areas step by step, reception and housekeeping work in shifts. With Log+Key every issue is assigned to a person — including the permanent one that only becomes relevant again when someone leaves. When they do, one glance at the system shows which keys and cards are still outstanding. No paper list, no memory gap.
Vehicles, tools and equipment included
The shuttle van, the maintenance team's power tools, radios, tablets: Log+Key manages not just keys but any object. Whatever is handed out gets scanned — and can be found again. More on our inventory management page.
Everyone on the team — no per-head surcharge
Log+Key is billed by the number of objects you manage, not per user. For a property with a large team, seasonal staff and trainees, that's the decisive difference: you create accounts for everyone who takes out or returns a key — reception, housekeeping, maintenance, kitchen — without the cost growing alongside. Nobody has to share a communal account to keep the invoice down; and that is exactly what makes the documentation meaningful in the first place. See pricing.
Several properties, one overview
For hotel groups, chains and multi-site hospitality businesses: each site works with its own terminal or smartphone, while management sees everything in one interface — with role-based access so everyone only sees what concerns them. And because Log+Key is built API-first, it can connect to your existing systems, such as your HR software — so joiners and leavers don't have to be maintained twice. More under integrations.

Forgotten your password?
Simple, fast sign-in with a PIN.
Log+Key stands for simplicity, and we guarantee it in our sign-in process too. Fast sign-in without usernames or complicated passwords saves time and effort.
Key dates in the calendar
Schedule a return date.
A scheduled return deadline makes for an organised key handover, because agreed deadlines are a helpful planning tool for both the person taking the key and the person handing it over.
An autograph, please!
Confirm with a signature.
Log+Key doesn't leave the question of accountability unanswered. With the signature feature, a key can be handed over responsibly and traceably.
More than keys
Your inventory works like a key too.
Tools, devices, vehicles, first-aid kits: anything your team borrows and returns, Log+Key manages just like a key — with an NFC tag, a complete history and stocktaking by scan. The key rack and the tool store share one system, one history and one login.

Answers for your industry
-
Does Log+Key replace our card system for the guest rooms?
No — and that's deliberate. The room cards stay in your locking system and PMS. Log+Key documents the stock that system never sees: keys and cards for offices, kitchen, storage and plant rooms, plus vehicles and tools. Both run in parallel without getting in each other's way.
-
Our service providers change frequently — do they need their own access?
No. Your team scans the key out, picks the provider from the contact list or types the name in, and sets a return date — with a signature on the tablet if you want one. External recipients never need an account of their own.
-
What happens when employees leave?
One glance at the system shows which keys, cards and fobs are still registered to that person — including permanent issues from their first day. Offboarding becomes a checklist instead of a search operation.
-
We have a lot of staff and seasonal workers — does every user cost extra?
No. Log+Key is billed by the number of objects you manage, not per user. Create as many accounts as you need — reception, housekeeping, maintenance, kitchen, temporary staff — the price stays the same. With high turnover that matters: nobody has to share a communal account to save on licences, so every checkout stays attributable to a specific person. See pricing.
-
We run several properties — does that work in one system?
Yes. Each property works with its own terminal or smartphone, while management sees all locations in one interface. Role-based access means teams only see their own area.
-
Can Log+Key connect to our HR software?
Yes — Log+Key is built API-first from the ground up. Joiners and leavers can be synchronised automatically, so nobody maintains personnel data twice. More about integrations.
-
Where is our data stored? Is it GDPR-compliant?
Hosting exclusively in Germany, a data processing agreement template is available, and access is role-based. More about security.
