Log+Key

Many employees, one register

Key management for large organisations

Hundreds of employees, plus trainees, working students and external service providers — and every one of them is handed keys, cards or fobs. Log+Key is the central register that records who holds what: from the first day of work to the last. Billed by the number of objects, not per user.

Typical challenges

What goes wrong with keys in large organisations

  • At onboarding, new employees receive keys, cards and fobs — documented in lists per department or site that nobody ever consolidates.
  • When someone leaves after years, nobody knows for certain what they were issued — the search starts in old spreadsheets and email threads.
  • Trainees, interns and working students gain access to more areas step by step — no register keeps up.
  • Several locking and transponder systems in the building: the manufacturers' software programs the media but doesn't document issues — there is no single source of truth.
  • External providers — tradespeople, cleaning, IT contractors — are given keys, and nobody records when they are due back.
  • Systems with per-user licences are unaffordable at a large headcount — so departments share one account, and no issue can be attributed to a person any more.

Key management for companies

From the first day of work to the last: every access medium registered.

The register alongside the locking system

Organisations that have grown over time often run several locking and transponder systems side by side — per building, site or construction phase. The manufacturers' software is made for programming cards, not for documenting who was issued what. Log+Key is deliberately system-neutral: mechanical keys, transponders, cards and fobs are recorded as objects, and every issue and return is assigned to a person. The result is the one overview across all systems that none of them can provide on its own.

Permanent issues count too

Most access media aren't swapped daily — they stay with the person, often for the entire duration of employment. Exactly that permanent issue needs to be registered: who holds what, since when? Log+Key answers that at a glance, and when someone leaves it becomes the offboarding checklist — instead of a reconstruction from old lists. HR and facility management work from the same record.

Onboarding, training, turnover

A large workforce means constant movement: new employees start, trainees and working students gain access to more areas step by step, others move internally or leave. With Log+Key every handover is documented in seconds — at the terminal, on a smartphone or at a desk. The register grows with you instead of lagging behind.

In sync with your HR software

Log+Key is built API-first from the ground up: our own interface talks to the system exclusively through the same API that is open to you. Joiners and leavers can be synchronised automatically with your HR software — nobody maintains personnel data twice, and the key register stays current by itself. We build custom integrations on request. More about integrations.

Create accounts for everyone — billed by objects

Log+Key is billed by the number of objects you manage, not per user. With several hundred employees that is the decisive difference: every person gets their own account without the cost growing with your headcount. And it's more than a pricing question — per-user licences create the incentive to share departmental accounts, and with them documentation that proves nothing when it matters. See pricing.

External recipients too

Tradespeople, cleaning services, IT partners: external providers don't need an account. Your team scans the key out, picks the recipient from the contact list and sets a return date — with a signature if required. The system flags overdue returns by itself.

Key dates in the calendar

Schedule a return date.

A scheduled return deadline makes for an organised key handover, because agreed deadlines are a helpful planning tool for both the person taking the key and the person handing it over.

Confirm with a signature.

Log+Key doesn't leave the question of accountability unanswered. With the signature feature, a key can be handed over responsibly and traceably.

More than keys

Your inventory works like a key too.

Tools, devices, vehicles, first-aid kits: anything your team borrows and returns, Log+Key manages just like a key — with an NFC tag, a complete history and stocktaking by scan. The key rack and the tool store share one system, one history and one login.

Frequently asked questions

Answers for your industry

  • We have several hundred employees — what will the user licences cost?

Nothing. Log+Key is billed by the number of objects you manage, not per user. Whether 50 or 2,000 people have an account makes no difference to the price — what counts is how many keys, cards and transponders you manage. That's deliberate: only when every person has their own account can every issue be attributed individually. See pricing.

  • Does Log+Key replace our locking system or the transponder software?

No. Your locking systems and their programming software stay exactly as they are. Log+Key adds what those systems don't provide: a central register of who holds which key, card or transponder — across several systems and sites.

  • Most employees keep their keys permanently — is it still worth it?

Especially then. Permanent issues are registered too and stay assigned to the person — from their first day of work. At any point you can prove who has access to which area, and when someone leaves, one glance at the system shows what needs to come back. Offboarding becomes a checklist instead of a search operation.

  • Can we connect Log+Key to our HR software?

Yes — Log+Key is built API-first from the ground up. Joiners and leavers can be synchronised automatically, so personnel data isn't maintained twice and the key register stays current by itself. We build custom integrations on request. More about integrations.

  • What data is stored about employees — what do we tell the works council?

Log+Key documents issues and returns of objects — that is, who took over or returned which key and when. It creates no movement profiles and no access logs: Log+Key is not an access control system but a handover register. Access is role-based, hosting is exclusively in Germany, and a data processing agreement template is available. We're happy to provide material for discussions with works councils or data protection officers. More about security.

  • Can external service providers receive keys through the system too?

Yes — without an account of their own. Your team scans the key out, picks the provider from the contact list or types the name in, and sets a return date, with a signature if required. The system flags overdue returns automatically.
