Log+Key

From the ward key to the hospital bed

Key management for hospitals

Hundreds of employees, three shifts, areas with different access levels — Log+Key documents who holds which key, transponder or fob. And keeps track of beds and equipment while it's at it. You're billed by the number of objects you manage, not per user — at your headcount, that makes the difference.

Typical challenges

What goes wrong with keys in day-to-day hospital operations

  • Hundreds of employees across three shifts, areas with different access levels — key issues run on per-ward lists that nobody ever consolidates.
  • Medication and valuables cabinets: who had access when, even just covering a single shift? That has to be verifiable months later.
  • Medical students, trainees, float pools: access changes constantly — the register is always one step behind reality.
  • Beds and equipment wander between wards — and the most modern ones are gone first, without anyone recording where to.
  • Several locking and transponder systems in one building: the manufacturers' software programs cards but doesn't document issues — there is no single source of truth.
  • Per-user licences are unaffordable at several hundred employees — so everyone works through ward accounts, and no handover can be attributed to a person any more.

Key management for clinics

Who holds which key — and who had it back in March?

One register for all locking systems

In hospitals that have grown over decades, several locking and transponder systems coexist — and the manufacturers' software is made for programming cards, not for documenting who was issued what. Log+Key is deliberately system-neutral: mechanical keys, transponders and fobs are recorded as objects, and every issue and return is assigned to a person. The result is the one overview none of the individual systems can provide — across all systems and all parts of the building.

Medication cabinets: prove access instead of reconstructing it

The keys to medication, controlled-substance and valuables cabinets are the most sensitive in the building. With Log+Key every handover is documented — including the stand-in handover for a single shift, with a signature if required. If someone asks months later who had access in a particular week, you answer with a glance at the history instead of a reconstruction from duty rosters.

Turnover, medical students and float pools

Hospitals employ a lot of people — and the workforce changes constantly. Medical students and trainees gain access to more areas step by step, float staff switch wards, others leave altogether. Log+Key also registers the permanent issue that only becomes relevant again on someone's last day: one glance at the system shows which keys and transponders are still outstanding — an offboarding checklist by itself. And because Log+Key is built API-first, it can synchronise with your HR software, so nobody maintains the same data twice. More under integrations.

Create accounts for everyone — the price stays the same

Log+Key is billed by the number of objects you manage, not per user. In a hospital with several hundred employees that is the decisive point: you create accounts for everyone who takes on a key or transponder — nursing, doctors, technical services, cleaning, float staff, medical students — without the cost growing with your headcount. This isn't purely a pricing question: only when every person really has their own account can every handover be attributed to a person. Per-user licence models create exactly the opposite incentive — shared ward accounts, and documentation that proves nothing when it matters. See pricing.

Beds and equipment: inventory with a history

Beds are the best-known example: they wander around the building constantly, wards compete over their count — and the most modern models are especially popular. With Log+Key the takeover is documented: who took which bed where? The same applies to mobile devices and other valuable inventory. More on our inventory management page.

Data protection in a sensitive environment

Log+Key is hosted exclusively in Germany, a data processing agreement template is available, and access is role-based: wards see their movements, administration sees the full picture. More about security.

Key dates in the calendar

Schedule a return date.

A scheduled return deadline makes for an organised key handover, because agreed deadlines are a helpful planning tool for both the person taking the key and the person handing it over.

Frequently asked questions

Answers for your industry

  • Does Log+Key replace our locking system or the transponder software?

No. Your locking systems and their programming software stay exactly as they are. Log+Key adds what those systems don't provide: a central register of who holds which key, transponder or fob — across all systems and all parts of the building.

  • Does this replace our controlled-substance documentation?

No — you keep your controlled-substance records exactly as the regulations require. Log+Key covers the layer before that: who had access to the cabinet key and when, including stand-in handovers for a single shift. Together they form the complete chain.

  • Many employees keep their keys for years — is there still a benefit?

Especially then. Permanent issues are registered too and stay assigned to the person. When someone leaves, one glance at the system shows what is still outstanding — instead of a reconstruction from old lists. And at any point in between, you can prove who has access to which area.

  • We have several hundred employees — what will the user licences cost?

Nothing. Log+Key is billed by the number of objects you manage, not per user. Whether 50 or 2,000 people have an account makes no difference to the price — what counts is how many keys, transponders and inventory items you manage. At your size this isn't only a cost question: only when every person has their own account can every handover be attributed individually. Per-user models push organisations towards shared ward accounts in practice — and documentation that exonerates nobody when it matters. See pricing.

  • Can we connect Log+Key to our HR system?

Yes — Log+Key is built API-first. Joiners and leavers can be synchronised automatically, so personnel data isn't maintained twice. We build custom integrations on request. More about integrations.

  • Does it work for beds and equipment too?

Yes. Log+Key manages any object — beds, mobile devices, equipment. Takeovers are scanned and assigned to a person or ward, so it's traceable who took what where. More about inventory management.

  • What about data protection?

Hosting exclusively in Germany, a data processing agreement template is available, and access is role-based — wards see their movements, administration sees the full picture. More about security.
